Hand over cards and subscriptions

Check records and access before handing over, so the next payment task doesn't depend on you being available.

Tasks and handover date

Specify what changes hands: payment checks, renewals or plan decisions. Different people may own each task. Record the handover date and decisions that stay with a manager.

Include current conversations about unresolved payments. A card name alone won't explain a return under review or a reply you're waiting for.

The handover record

Use a shared document your colleague can edit. Identify cards by name and last four digits, adding an internal identifier if needed. Leave full card numbers and security codes out.

  • The project and expenses assigned to the card.
  • The new owner and handover date.
  • Links to services and the account showing the card balance.
  • The next charge, unresolved questions and relevant contacts.

Try one task together

Take the next renewal. Ask your colleague to find the service and card, check the date and show where they'll see the payment result. Update the document wherever they need your help.

Check access at the same time. If an account isn't available, arrange it through the company's usual process rather than adding another employee's password to the instructions.

Unfinished work after the handover

Give every open question an owner and a next action. Replace “check later” with who you're waiting for and what needs checking.

After the first renewal your colleague handles, add the answers to their questions. The next handover can use those notes.
